By accessing or using our Website, you agree to be bound by these Terms and Conditions (“Terms”). If you do not agree to these Terms, please do not use the Website.
2. Purpose of the Website
This Website provides information about our clinic, services, and areas of specialisation for prospective and existing patients. It also enables users to request appointments for consultations, either in person or via video.
3. Appointments and Consultations
Users may request appointments through our Website, phone, or email. Our administrative team will confirm consultation suitability, particularly for video consultations, as not all conditions are appropriate for remote care.
- Consultation Reports: Reports are typically delivered within 10–12 working days of the appointment.
- Clinical Records: During the appointment process, patients may share personal and medical information, which is securely stored in our Electronic Health Record (EHR) system.
4. Personal Data and Patient Responsibility
- We collect and process personal and medical information solely to deliver healthcare services. We comply with the UK GDPR and the Data Protection Act 2018.
- Data Submission: Information submitted by patients via phone, email, or digital forms is entered into our system by staff and can be reviewed and updated by the patient via secure forms.
- Patient Responsibility: By submitting a form, you certify that all information provided is accurate and complete to the best of your knowledge. Dementech is not liable for any clinical outcomes resulting from inaccurate or omitted information provided through these digital forms.
5. Cookies
- We use cookies to improve website performance, secure patient inquiry forms, and facilitate our out-of-hours service. By using our Website, you acknowledge our use of cookies as outlined in our Cookie Policy. You can manage your cookie preferences at any time via our consent banner.
6. Cancellation Policy
To maintain our level of service, cancellations must be made by phone, email, or in person. The following fees apply based on working hours (Monday–Friday, 9:00 AM – 5:00 PM):
- General Consultations: An admin fee of £50 applies to all cancellations. If the cancellation is made within 48 working hours of the appointment, the fee is £100. Cancellations made within 24 working hours or less are non-refundable.
- Tests: For any cancellations of booked tests, an admin fee of 10% of the amount paid will be deducted. If the cancellation is made within 72 working hours or less, we are unable to process a refund.
- Other Services: Failure to cancel at least 24 working hours in advance will result in the full loss of the deposit or the total cost of the assessment. If only a deposit was paid, we reserve the right to recover the remaining balance.
7. Payments
Payments for consultations are processed via Stripe, using secure, encrypted links. Payment links are emailed to patients or processed via phone or in person with patient consent. We do not store payment card details outside of the Stripe platform.
8. Medical Disclaimer
The Website provides general information and does not constitute medical advice. Accessing the Website does not create a doctor–patient relationship. Always consult a qualified healthcare professional before acting on any content found here.
9. Emergencies and After-Hours Contact
Dementech is not equipped to handle medical emergencies or urgent mental health crises. In the event of a medical emergency, please call 999 or visit your nearest Accident & Emergency (A&E) department.
- Out-of-Hours Support: Our standard administrative office hours are Monday to Friday, 9:00 AM to 5:00 PM. Outside of these times, our calls are managed by our partner, Answer Connect. Their team is authorised to collect your contact details and a summary of your inquiry to share with our clinical staff for follow-up.
- Distress Calls: If a call is received from a patient expressing suicidal thoughts or acute distress, we will redirect the call to the appropriate emergency services or the Samaritans at 116 123.
10. Call Recording and Retention
For training, quality assurance, and clinical accuracy, telephone calls made to Dementech or our out-of-hours service may be recorded.
- Retention Period: We retain call recordings for a period of 90 days from the date the call was made. After this period, recordings are automatically and securely deleted, unless a specific segment is required to be retained longer as part of a formal clinical record or legal requirement.
11. Prescriptions and Follow-up Consultations
- Prescribing Intervals: We maintain a 10-working-day prescribing interval to ensure the best possible balance between patient convenience and good medical practice.
- Repeat Prescriptions: Our policy requires a follow-up appointment every three months for a repeat prescription to ensure your health needs are met and the medication works effectively.
- Lapsed Appointments: If you would like to book a follow-up consultation and your last appointment was more than eight months ago, you will be required to book a one-hour consultation for a comprehensive review.
12. Right to Refuse or Terminate Treatment
Dementech reserves the right to refuse treatment or terminate the clinician–patient relationship under specific circumstances, including:
- A breakdown in the essential trust between the clinician and the patient.
- Persistent non-compliance with recommended medical treatment plans.
- Any display of abusive, threatening, or inappropriate behaviour toward Dementech staff or clinicians.
13. International Patients
Dementech welcomes international patients. Regardless of the patient’s country of origin, all services are provided in accordance with UK medical and legal standards.
14. Intellectual Property
All content on this Website, including text, graphics, logos, and images, is the property of Dementech Limited and is protected by applicable intellectual property laws.
15. Limitation of Liability
While we strive for accuracy, we do not guarantee that all content is complete, current, or error-free. We accept no liability for any loss or damage resulting from reliance on information on this Website.
16. Governing Law
